1. Who We Are

AdaptDoc is an electronic signature and document management platform operated by Adaptensor Inc., headquartered in Cove, Arkansas. Our service is available at doc.adaptensor.com. We provide legally binding e-signatures, document routing, audit trails, and SMS-based document signing.

2. Information We Collect

We collect the following categories of information:

• Account information: Name, email address, and/or phone number when you create an account or sign in.
• Document data: Files you upload, sign, or receive through AdaptDoc, including PDF content and signature images.
• Signing data: IP address, timestamp, device type, and signing method recorded for audit trail purposes.
• Phone number: When you use SMS-based authentication or signing, we collect your mobile number to send one-time passcodes and document notifications.
• Usage data: Pages visited, actions taken, and session duration to improve our service.
• Payment information: Processed securely through Stripe. We do not store full card numbers.

3. How We Use Your Information

• To provide and operate the AdaptDoc signing platform
• To send authentication codes (OTP) via SMS when you log in or sign documents
• To send document signing requests, completion notifications, and deal confirmations via SMS and email
• To maintain legally compliant audit trails for signed documents
• To process payments for subscription plans
• To improve platform functionality and user experience
• To comply with applicable laws and legal obligations

4. SMS Messaging

AdaptDoc sends SMS messages for the following purposes:

• One-time passcodes (OTP) for account authentication
• Document signing requests and completion notifications
• Deal confirmation messages for QuickOffer transactions

Message and data rates may apply. Message frequency varies. You can opt out at any time by replying STOP to any message. Reply HELP for support. We do not share your phone number with third parties for marketing purposes.

5. Data Sharing

We do not sell your personal information. We share data only in the following limited circumstances:

• Service providers: Vonage (SMS delivery), Resend (email delivery), Vercel (hosting), Neon (database), Stripe (payments), and Clerk (authentication). Each provider is bound by data processing agreements.
• Other signing parties: When a document is sent for signature, the recipient receives access to the document and relevant signing metadata.
• Legal requirements: We may disclose information if required by law, court order, or to protect the rights and safety of our users.

6. Data Retention

Signed documents and audit trails are retained for as long as your account is active or as required by your configured retention policy. You may configure automatic archival or deletion schedules in your account settings. Account data is deleted within 30 days of account closure upon request.

7. Security

AdaptDoc uses SHA-256 integrity hashing, encrypted storage, TLS in transit, and role-based access controls to protect your documents and data. All documents are stored in private Vercel Blob storage with authenticated access only.

8. Your Rights

You have the right to access, correct, export, or delete your personal data. To exercise these rights, contact us at privacy@doc.adaptensor.com. California residents have additional rights under the CCPA. EU/UK residents have rights under GDPR.
